Privacy Policy

Star Pathways Pty Ltd (ABN 53 689 155 780)  |  Perth, Western Australia  |  Updated 20 October 2026

1. About this policy

STAR ADHD Coaching (we, us or STAR) is operated by Star Pathways Pty Ltd. We respect the privacy of students, parents and guardians. This policy explains what personal information we collect, why we collect it, who we share it with and how you can access it or raise a concern.

We handle personal information in accordance with applicable Australian privacy law, including the Privacy Act 1988 (Cth) and Australian Privacy Principles where they apply. We take extra care with children's information and health-related information.

2. What information we collect

We may collect a student's name, date of birth, school, contact details, emergency contact, parent or guardian details, coaching goals, attendance, agreed actions and notes about coaching sessions. We may also collect information about learning needs, ADHD or other health matters when it is relevant and you choose to provide it.

For parents or guardians, we may collect contact, consent, booking and billing information. Payments are processed securely by Stripe; STAR does not directly store your full card number or security code.

We usually collect information from the parent or guardian, the student, booking forms and coaching conversations. With permission, we may also receive information from a school or another professional. Please tell us if information changes.

3. How we use information

We use information to assess whether coaching is appropriate, arrange and provide sessions, tailor coaching goals and strategies, communicate with families, send reminders, manage payments, keep records, meet legal obligations and respond to safety concerns.

We only collect health information where it is reasonably needed for coaching and with consent or another lawful basis. We do not sell client information. We do not use student health information for advertising or direct marketing.

4. Students, parents and confidentiality

We aim to give students a private and supportive space. Parents or guardians may receive updates about goals, strategies, attendance and agreed next steps, but we do not routinely disclose everything a student says in coaching.

We consider the student's age, understanding and circumstances when deciding how to handle requests and consent. A parent or guardian does not automatically receive every private session note. We may share information without consent when required or permitted by law, including to respond to a serious safety concern, suspected harm or a child-protection issue.

5. Sharing with schools and others

We only share coaching goals, learning strategies or suggested school supports with Hale School or another school when the required parent/guardian and student agreement has been obtained. This is optional and can be withdrawn for future disclosures by contacting us. We do not routinely share private conversations or diagnostic information with schools.

We may disclose limited information to trusted businesses that help us operate, such as appointment booking, secure record storage, email, video calls, electronic signing and payments. We may also share information with professional advisers where appropriate and subject to confidentiality, or when authorised or required by law.

6. Storage, security and overseas services

We take reasonable technical and organisational steps to protect your personal information from misuse, interference, loss, and unauthorised access, modification or disclosure. These steps include limiting access to people who need it for coaching or business administration, and using access controls and encryption where available. No internet or cloud-based service can be guaranteed completely secure.

We use third-party service providers to operate our business. These include providers of:

  • secure online payment processing

  • practice management and client record keeping

  • scheduling and email

  • online video sessions

  • document storage and electronic signing

Some of these providers may store or access personal information on servers located outside Australia. Before disclosing personal information to an overseas provider, we take reasonable steps to ensure the provider handles it in a way that is consistent with the Australian Privacy Principles. Our providers' own privacy policies explain how they handle information, and we can provide details of the providers we use on request.

If a data breach occurs, we will investigate it, take steps to contain it, and notify affected individuals and the Office of the Australian Information Commissioner where required by law.

7. How long we keep information

We keep information only while it is needed for coaching, legal, insurance and reasonable business purposes, and then securely delete or de-identify it where appropriate. Our specific retention schedule for student coaching records and records relating to minors is: 7 years.

8. Access, correction and complaints

You can ask to see or correct personal information by emailing contact@staradhd.com.au. We may need to confirm your identity and consider the student's privacy and capacity before providing information. We will respond within a reasonable time and explain any lawful reason for refusing a request.

If you have a privacy concern, email us with the details so we can investigate and respond. If you are not satisfied, you can contact the Office of the Australian Information Commissioner at www.oaic.gov.au or 1300 363 992.

9. Updates and contact details

We may update this policy as our services, technology or legal obligations change. The current version should be available on our website or on request. Material changes will be communicated where appropriate.
